Accounts and workspace access
Understand invitations, roles, venue allowances and password recovery.
Join by invitation
Use the email address named in your invitation. After creating an account, follow the confirmation email link. It confirms your address, signs you in and opens Accept invitation. Choose that button to join the workspace. If you already have an account, sign in and accept the invitation to add that workspace.
Invitation links expire after seven days. A replacement invitation invalidates the previous link, so use the most recent one. Ask the person who arranged your access for a replacement if the link has expired or been revoked.
Understand your role
| Role | What it allows |

| Owner or admin | Edit and save maps; manage workspace settings and categories; publish, unpublish and change sharing settings. |
| Editor | Create venues within the allowance, edit maps, upload reference plans and save drafts. Ask an owner or admin to publish. |
| Viewer | Inspect workspace maps and private previews. Cannot save edits or manage publishing. |
Roles apply to a particular workspace. Being an owner in one organisation does not give you access to another. Workspace roles do not grant access to Maphere platform administration.
Check your venue allowance
The venue list shows how many venues your workspace uses and its allowance. Every venue counts, whether it is a private draft or published. Floors inside a venue do not count as extra venues.
At the allowance, you can keep editing existing venues but cannot create another. Ask the person managing your Maphere service to arrange an allowance change. Reducing an allowance does not delete existing maps.
Reset your password
- On the login page, choose Forgot your password? and enter your account email.
- Follow the reset link in the email. If it is expired or has already been used, request a new one.
- Choose and confirm a new password of at least 12 characters, then sign in again.
Resetting your password signs out existing sessions. If you have an open studio with unsaved changes, keep it open, sign in again in a separate tab, and then retry saving.
